Sugarbug is hiring a Dental & Orthodontic Operations Manager-

Sugarbug Dental & Orthodontics is an established Pediatric Dental and Orthodontic practice that has been serving the county of Ventura for over 10 years, just a short drive from the ocean in the city of Oxnard, CA. In early 2021, we are opening up a second location in Camarillo, CA. As our company has expanded and continues to grow, so do the opportunities to grow our team. Sugarbug is currently looking for Managers to join our practice.

Duties may include but are not limited to the following:

DUTIES AND RESPONSIBILITIES:

  • Manages and organizes office operations and procedures including but not limited to account management, information management, Banking, Deposits, Petty Cash, Staffing, EDR/EHR systems, supplies.
  • Ensures quality front desk services are provided and actively engages in a quality assurance program for these services.
  • Oversees orders and maintains office supplies and inventory efficiently and cost effectively.
  • Analyzes and maximizes office productivity.
  • Establishes and monitors uniform correspondence procedures and style practices.
  • Develops and monitors administrative office budget; ensures office activities are conducted within budgetary restrictions; initiates cost reduction programs.
  • Manages office security system and keys as distributed by the company.
  • Prepares reports and correspondence as needed.
  • Assists with general clerical/administrative duties as needed including but not limited to answering phones, preparing correspondence and memoranda, faxing, copying, and mailing, scheduling, check-in, check-out, insurance coordination and traffic.
  • Hires, trains, supervises, motivates, and develops office staff; manages schedules and workflow.
  • Continually motivates staff in a positive manner, establishes camaraderie and a positive work culture
  • Continually strives to establish an overall positive company culture
  • Ensures that dental support staff are scheduled and assigned accordingly to meet dental client needs.
  • Develops and maintains doctors schedules to meet practice goals.
  • Assigns duties and monitors quality of work; assures staff conforms to organizational policies and procedures and government regulations.
  • Provides day-to-day guidance and oversight of subordinates; actively works to promote and recognize performance.
  • Keeps up to date on the overall activities of the team, identifying problem areas and taking corrective actions.

SUPERVISORY RESPONSIBILITIES:

  • Directly supervises staff employees within the Administrative department(s).
  • Indirectly supervises administrative employees within the communication and billing/ clinical department(s).
  • Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
  • Responsibilities include interviewing, hiring, and training employees; planning, assigning, delegating and directing work, tasks and duties; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

QUALIFICATIONS:

  • Bachelor’s degree (B. A.) or equivalent or two to four years related experience, an equivalent combination of education and experience preferred.
  • Basic competence in duties and tasks of supervised employees.
  • Excellent verbal and written communication skills.
  • Commitment to excellence and high standards.
  • Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow.
  • Ability to work independently and as a member of various teams and committees.
  • Acute attention to detail.
  • Ability to deal effectively with a diversity of individuals at all organizational levels.
  • Good judgement with the ability to make timely and sound decisions
  • Demonstrated ability to plan and organize projects.
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
  • Proficient on EHR/EDR, Microsoft Office, QuickBooks, Quicken, Excel
  • Must be able to speak, read, write, and understand the primary language(s) used

in the workplace.

  • Bilingual skills a plus.
  • (60-80k yearly range based on hourly pay) based on Experience and Education
